Case Management on the SportFin CRM

A quick guide to managing data, adding notes, collecting feedback and storing information about your participants.

This powerful tool allows you to easily manage all of your participant data in one place. With our user-friendly interface, you can easily view and track all of your participants' information and engagement with your activities.

View and Manage Participant Data

One of the main features of our case management system is the ability to view and manage participant data. This includes basic information such as name, contact information, and membership status.

You can also view more detailed information such as age, gender, participation rates and any medical information they might have set up.

To view and edit an individual's information, navigate to 'Club Management' > 'People' > 'Club Members/Participants' and then click on the name of one of your participants.

You can only manage personal data about participants who are not 'live' users of SportFin (users who manage their own SportFin accounts). You will need to request live users to update their information themselves from SportFin.

To edit information about a participant, simply click the pencil icon on the top right of one of the cards.

Add Notes About Participants

Keeping track of important information about your participants is crucial for providing the best experience possible. With our case management system, you can easily add notes about participants. This could include any special accommodations they may need, their preferences, or any other relevant information.

To add notes, click the '+' icon next to the 'Notes' card:

Store Additional Information About Participants

In addition to basic participant data, our case management system also allows you to store additional information about participants. This could include any other details that may be important for your organisation to have on file.

To add additional information, click the '+' icon next to the 'Additional Information' card:

View Their Activity Purchases and Membership Subscriptions

If your organisation offers paid activities and membership subscriptions, our case management system makes it easy to view and manage them. You can see which participants are current members, when their membership expires, and any other relevant details. This can help you stay organized and ensure that all of your participants are up-to-date with their memberships.

View the Email Sent and Surveys Completed

The SportFin CRM also allows you to send email communications to your participants/parents. You can also view all the emails that have been sent to participants in the case management system.

Further, the SportFin CRM allows you to collect data and feedback through surveys. With our case management system, you can easily view the surveys that your participants have completed. This can help you identify areas for improvement, areas of impact and make data-driven decisions for your organisation.
